Getting Started with Your Vaile Account

After signing up for Vaile, you’ll need to complete a few steps to get your dealership account fully configured and invite your team members.

Step 1: Create Your Account

  1. Sign up at app.vaile.ai
  2. Verify your email address
  3. Complete your profile with your name and contact information
At this point, you have a personal Vaile account but haven’t created your dealership organisation yet.

Step 2: Create Your Dealership Organisation

Important: You must create an organisation to access the Vaile dashboard and features.
  1. Navigate to the organisation setup in your Vaile dashboard (in the top left corner of the screen)
  2. Choose “Create Organisation”
  3. Enter your dealership details:
    • Dealership name (e.g., “Smith Motors”)
  4. Complete the setup - You’ll automatically become the organisation administrator

As the creator, you’ll have full admin access to manage settings, users, and billing

Your organisation starts on the free plan - upgrade anytime as you grow

Step 3: Invite Team Members

Once your organisation is created, you can invite your team members to collaborate:

How to Invite Team Members

  1. Navigate to the organisation menu in the top left-hand corner of your dashboard
  2. Click “Invite User”
  3. Enter the email address of the person you want to invite
  4. Send the invitation - They’ll receive an email to join your organisation
You can return to the organisation menu in the top left-hand corner at any time to invite more team members.

What Happens Next?

When someone accepts your invitation:
  • They’ll be automatically added to your dealership organisation
  • They’ll have full access to your dealership’s leads, contacts, and settings
  • They can start using the chat widget and dashboard features immediately

Important Notes

Single Organisation: Each user can only belong to one dealership organisation at a time. If you need to switch organisations, contact support.
Team Collaboration: All team members in your organisation share the same leads, contacts, and chat conversations for seamless collaboration.
Admin Access: Be careful when assigning admin roles - admins can modify critical settings and billing information.

Troubleshooting Common Issues

”I can’t access the dashboard features”

  • Solution: Make sure you’ve created or joined an organisation. Individual accounts without organisations have limited access.

”My team member can’t accept the invitation”

  • Solution:
    • Check that they used the same email address for their Vaile account
    • Ensure the invitation email didn’t go to spam
    • Ask them to check for an invitation email from Vaile
